Policies for Organized Tours
Bookings and Payments
All bookings for organized tours are subject to terms and conditions, availability of hotels/accommodation and the scheduling of our guides and tour coordinators. All bookings are subject to confirmation.
Downpayment funds must be received through the Reason Travel website and booking form. Pay by credit card – MasterCard, Visa, American Express or Discover.
Once your selected trip and date are confirmed by our partners, we will contact you with instructions to provide full payment for your trip. Your downpayment will apply to the final, full payment. We must receive the full payment for your trip at least 30 days before your trip start date. If we do not receive the full payment for your trip at least 30 days prior to your trip start date, your itinerary will be canceled and you will forfeit your downpayment.
If your selected trip and date are unavailable or cannot be confirmed within two business days, we will contact you by email with some other options. If you do not find any of the available trip options acceptable or possible, we will refund your downpayment, minus a processing fee (USD $30). This fee helps us cover our credit card, banking and admin costs.
Once the full payment for your trip has been received, we cannot offer any refunds. Please understand that at this point our tour partners have already started making reservations for accommodations, transportation, excursions and activities. Any cancellation will be costly for them and for us. For this reason, we require that all participants in Reason Travel organized tours purchase travel insurance in case you are unable to begin your itinerary on time.
Release of Liability
In exchange for participation in organized tours/travel (the “Activity”) with Reason Travel LLC, all participants (the “Participants”) agree to the Release of Liability (the “Release”) as follows:
Participants in Reason Travel organized tours, and anyone claiming on their behalf, release and forever discharge Reason Travel LLC and its affiliates, successors and assigns, officers, employees, representatives, partners, agents and anyone claiming through them (collectively, the “Released Parties”), in their individual and/or corporate capacities from causes of action of any nature and kind, known or unknown, which Participants may have against Reason Travel or any Released Parties arising out of or relating to any injury, loss or damage to person and property that may be sustained as a result of participation in the Activity (“Claims”).
Participants acknowledge and understand that participation in the Activity involves inherent risks, including risk of physical or psychological injury, pain, suffering, illness, dismemberment or disfigurement, temporary or permanent paralysis and/or death, and Participants assume all related risks and voluntarily participate in the Activity.
Participants agree to indemnify Reason Travel LLC and the Released Parties against any and all claims, actions, lawsuits, damages and judgments, including attorney’s fees, arising out of or relating to participation in the Activity.
This Release for Participation in Event or Activity (“Release”) shall not be in any way construed as an admission by Reason Travel LLC or the Released Parties that they have acted wrongfully with respect to the Participants or any other person, that it admits liability or responsibility at any time for any purpose, or that Participants have any rights whatsoever against Reason Travel LLC and/or the Released Parties.
This Release shall be binding upon the parties and their respective heirs, administrators, personal representatives, executors, successors and assigns. Participants acknowledge that they have the authority to release the Claims and have not assigned or transferred any Claims to any other party. The provisions of this Release are severable. If any provision is held to be invalid or unenforceable, it shall not affect the validity or enforceability of any other provision. This Release constitutes the entire agreement between the parties and supersedes any prior oral or written agreements or understandings between the parties concerning the subject matter of this Release. This Release may not be altered, amended or modified, except by a written document signed by both parties. The terms of this Release shall be governed by and construed in accordance with the laws of the State of Wyoming.
Participants acknowledge that they have carefully read and fully understand all the provisions of this Release and freely, knowingly and voluntarily entered into this Release.
Reason Travel cannot offer refunds, except in rare cases and at our sole discretion. All participants in our organized tours are required to purchase trip insurance and travel health insurance to cover cases of emergencies, missed connections, illness and accidents, or any circumstance that prevents the start or continuation of a tour.
In the case that your Reason Travel tour is canceled, delayed or unable to start due to extreme weather, storms, natural disasters, Acts of God, terrorism, war, strikes, geopolitical instability / turmoil or other events beyond our control or the control of our tour operators (“force majeure”), Reason Travel will not be held liable for any damages or losses to the customer. All participants in Reason Travel organized tours are required to purchase relevant trip insurance in the case of unexpected losses.
General Tour Policies
All participants (the “Participants”) in Reason Travel organized tours agree to follow the local laws of the host country. Participants agree to respect local customs insofar as they are reasonably able. Participants agree to follow the instructions of the tour guide and all personnel/staff involved in completing the scheduled tour activities. Participants agree to use all safety equipment provided by tour operators, including but not limited to seat belts, life jackets, harnesses, helmets, etc. Participants agree to purchase trip insurance and travel health insurance for the duration of their involvement with Reason Travel LLC organized tours and our tour partners.
Any controversy or claim arising out of or relating to these policies, or the breach thereof, shall be settled by arbitration administered by the American Arbitration Association in accordance with its Commercial [or other] Arbitration Rules, and judgment on the award rendered by the arbitrator(s) may be entered in any court having jurisdiction thereof.
